Refund Policy

This policy sets out the cancellation and refund entitlements for participants (“you” or “your”) who book a Language Immersion Adventure with FlyingSponge Ltd (“we”, “us” or “our”).

When you book an immersion, we make binding commitments to third-party providers - including your host and your language tutor - on your behalf. Because those providers ring-fence their time and turn away other bookings, the closer to your Immersion Start Date a cancellation occurs, the lower the refund we are able to offer.

1. Your Statutory Right to Cancel (14-Day Cooling-Off Period)

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the right to cancel your booking within 14 days of signing your Language Immersion Adventure Agreement (201cCooling-Off Period201d) without giving any reason, provided we have not yet begun to perform the Services.

To exercise this right, you must notify us in writing within 14 days by emailing hello@flyingsponge.com.. If you cancel within this period and we have not started performance, we will refund all payments made within 14 days of receiving your cancellation notice. If you have asked us to begin arranging your immersion during the Cooling-Off Period, you may lose this right once the Services have been fully performed. If we have started (but not completed) the Services, you will be required to pay a proportionate amount for the Services delivered up to cancellation.

Note: If you cancel within the Cooling-Off Period, the cancellation tiers in Section 4 below do not apply. Your full statutory rights take precedence.

2. The Deposit - Non-Refundable After 14 Days

Upon signing your Language Immersion Adventure Agreement, you pay a Deposit equal to 20% of the total Price. The Deposit secures your place and allows us to enter into binding commitments with your host and tutor.

The Deposit is non-refundable once the 14-day Cooling-Off Period has passed. All refund calculations in Section 4 are applied to the balance of the Price (i.e. the total Price less the Deposit), unless you are cancelling within the Cooling-Off Period.

3. Cancellation Tiers - How Much You Get Back

If you cancel your Language Immersion Adventure after the Cooling-Off Period and before your Immersion Start Date, the following refund tiers apply.

If you cancel 60 or more days before your trip

  • You get a full refund of everything you've paid, Minus your deposit (non-refundable) and the £50 admin fee

If you cancel between 30 and 59 days before your trip

  • You get 50% of your balance back, minus your deposit (non-refundable) and the £50 admin fee

If you cancel fewer than 30 days before your trip

  • No refund, all money paid is forfeited.

  • This is because FlyingSponge, your host and your tutor have made firm commitments and costs cannot be recovered at this stage

In all cases, a non-refundable administration fee of £50 will also be deducted to cover our operational costs.

Worked Examples: The examples below are illustrative only, based on a total Price of £1,000 (Deposit = £200; balance = £800)

  • Cancellation 65 days before the trip:  Balance = £800. 100% of balance = £800. Less £50 admin fee. Refund = £750

  • Cancellation 45 days before the trip:  Balance = £800. 50% of balance = £400. Less £50 admin fee. Refund = £350

  • Cancellation 20 days before the trip:  Balance = £800. 0% refund. No monies returned. Total forfeited = £1,000

4. Commitments

When you cancel your Language Immersion Adventure, we are also required to manage our financial obligations to the host and tutor who have committed their time to your trip. The way funds are allocated between you, your providers, and FlyingSponge depends on how much notice is given — the shorter the notice, the greater the portion retained to cover commitments already made on your behalf. In all cases, FlyingSponge is committed to treating its host and tutor community fairly, and where appropriate will ensure that providers are compensated in recognition of the time and preparation they have invested in your immersion. Our obligations to providers are governed by separate agreements and do not create any direct contractual relationship between you and them..

Where a cancellation occurs with fewer than 10 days' notice, FlyingSponge may at its discretion make a goodwill payment to the host and/or tutor from the funds retained. This is not a contractual obligation to you but reflects our commitment to treating our provider community fairly.

5. How to Cancel

To cancel your booking you must notify us in writing. Cancellations must be sent by email to hello@flyingsponge.com with the subject line: "Cancellation - [Your Name] - [Immersion Start Date]".

The cancellation date will be the date on which we receive your written notice. Verbal or informal cancellations will not be accepted. We will acknowledge your cancellation in writing within 5 business days and confirm the applicable refund tier.

6. Refund Process & Timescales

  • Refunds will be made to the original payment method used at the time of booking.

  • We will process eligible refunds within 14 days of confirming your cancellation in writing.

  • We are not responsible for any delays caused by your bank or payment provider once the refund has been issued on our side.

  • Any refund will be made in pounds sterling (GBP). We are not responsible for any currency conversion losses.

7. Cancellation by FlyingSponge

In the unlikely event that we need to cancel your Language Immersion Adventure due to circumstances within our control, we will offer you either a full refund of all sums paid (including the Deposit and administration fee) or, where possible, an alternative immersion of equivalent value. Where cancellation is required due to events outside our reasonable control (including natural disasters, civil unrest, government travel restrictions, or similar force majeure events), we will use reasonable endeavours to recover costs from our providers and pass those refunds on to you, but we cannot guarantee a full refund in such circumstances. We strongly recommend you obtain travel insurance that covers trip cancellation.

8. Changes to Your Booking

If you wish to change (rather than cancel) your immersion — for example, to move to a different date — please contact us as soon as possible at hello@flyingsponge.com. We will do our best to accommodate changes but cannot guarantee availability. Where a change is agreed, a rebooking fee may apply, and any difference in Price will be payable or refunded accordingly. Changes are subject to availability from our host and tutor providers.

9. Travel Insurance

As set out in your Language Immersion Adventure Agreement, you are required to obtain appropriate travel insurance before your Immersion Start Date. We strongly recommend that your policy includes trip cancellation cover, as this may allow you to recover costs not refundable under this policy (for example, in cases of illness or personal emergency).

FlyingSponge Ltd accepts no liability for losses you could have recovered through travel insurance had you held an appropriate policy
