At FlyingSponge, we are committed to ensuring that your experience is safe, secure, and protected. Here's exactly how you're protected when you book a Language Immersion Adventure with FlyingSponge - and what we ask of you in return.

1. Regulations

FlyingSponge Ltd operates as a package travel organiser under the Package Travel and Linked Travel Arrangements Regulations 2018 ("the PTRs"). This is because a Language Immersion Adventure combines more than one travel service - accommodation with your host, language tuition with your tutor, and facilitated local connections — all arranged by us under a single booking. This gives you a meaningful set of legal rights as a traveller.

Your booking is also subject to the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, which gives you a 14-day cooling-off period from the date you sign your Participant Agreement, as well as the Consumer Rights Act 2015.

2. Insurance Coverage

How FlyingSponge Is Insured

We hold the following insurances to protect our business and the people we work with:

  • Public Liability Insurance - This covers claims made against FlyingSponge for injury or property damage arising from our activities and operations.

  • Professional Indemnity Insurance - This covers claims arising from errors, omissions or negligence in the professional services we provide — for example, if a mistake in our matching or coordination process caused you a financial loss.

  • Financial Failure (Insolvency) Protection - As required under the Package Travel and Linked Travel Arrangements Regulations 2018, FlyingSponge holds insolvency protection to ensure that if we were ever to cease trading, participants who have paid but not yet travelled would be entitled to a refund of their money. Details of our insolvency protection provider are available on request.

3. What this means for you

Because FlyingSponge falls under the PTRs, you benefit from the following protections by law:

  • If we make a significant change to your immersion before it starts, you have the right to accept the change, take an alternative immersion of equivalent value, or cancel and receive a full refund

  • If we cancel your immersion for reasons within our control, you are entitled to a full refund of all money paid

  • If FlyingSponge becomes insolvent before your trip, your payments are protected and you will be entitled to a refund through our insolvency protection arrangements

  • You have the right to transfer your booking to another person in certain circumstances, subject to giving us reasonable notice

  • We are legally responsible for the proper performance of all the services included in your package, even where those services are delivered by third-party providers such as hosts and tutors

4. What is not covered

Our insurances and the protections under the PTRs do not cover everything. The following are not included and are your responsibility to arrange independently:

  • Flights, visas and travel to your destination - these are excluded from your Language Immersion Adventure package and must be booked and insured by you directly

  • Medical costs, illness or injury during your trip - you must hold appropriate travel insurance covering medical expenses for the full duration of your adventure

  • Personal belongings, theft or loss - not covered by FlyingSponge or our providers

  • Cancellation by you - if you cancel your booking, our Refund Policy applies; any unrecovered costs are your responsibility and best protected through your own travel insurance

  • Force majeure events - where cancellation is caused by extraordinary circumstances beyond our control (such as natural disasters, war, pandemics or government travel restrictions), we will use reasonable efforts to recover and pass on any refunds from providers, but a full refund cannot be guaranteed in all cases

5. What we require from you

As set out in your Participant Agreement, you are required to take out comprehensive travel insurance before your Immersion Start Date. At a minimum, your policy should cover:

  • Medical expenses and emergency evacuation

  • Personal liability

  • The full duration of your Language Immersion Adventure, from departure to return

We may ask you to provide evidence of your travel insurance before your trip begins. We strongly recommend checking that your policy covers the specific destination and activities involved in your immersion. We also strongly recommend that your policy covers trip cancellation or curtailment, as well as loss or theft of personal belongings. FlyingSponge accepts no liability for losses that you could have recovered through travel insurance had you held an appropriate policy.

6. Your consumer rights

Nothing in this page or in our Participant Agreement limits or excludes your statutory rights under English law. In the event of a dispute we are committed to resolving matters through discussion or mediation in the first instance.
